To get there, open your Harmonweb Email plan in the <a href=\"https:\/\/client.harmonweb.com\/clientarea.php\">client area<\/a>, click <strong>Manage mailboxes<\/strong> and log in with your <strong>admin username<\/strong> and password. If this is your first time, see <a href=\"https:\/\/harmonweb.com\/blog\/create-professional-email-address-harmonweb-email\/\">how to create your first professional email address<\/a>.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Check_how_many_email_accounts_you_can_create\"><\/span>Check how many email accounts you can create<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>The <strong>Domains<\/strong> tab shows your domain and how much of your plan you&#8217;re using:<\/p>\n<ul>\n<li><strong>Mailboxes:<\/strong> how many email accounts you&#8217;ve created and how many your plan allows. This is useful for support, but only do it with the person&#8217;s knowledge and in line with your company&#8217;s policies.<\/li>\n<\/ul>\n<h2><span class=\"ez-toc-section\" id=\"How_to_add_an_email_account_for_a_team_member\"><\/span>How to add an email account for a team member<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<ol>\n<li>On the <strong>Mailboxes<\/strong> tab, click <strong>Add mailbox<\/strong>.<\/li>\n<li>Enter the <strong>Username<\/strong> (the part before the @, such as <strong>ada<\/strong> for ada@yourbusiness.com) and the person&#8217;s <strong>Full name<\/strong>.<\/li>\n<li>Set a <strong>Password<\/strong>, or click <strong>generate<\/strong> and copy the password somewhere safe.<\/li>\n<li>Set the <strong>Quota<\/strong> (storage) for this person. Ask them to change their password the first time they log in.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"How_to_edit_an_email_account\"><\/span>How to edit an email account<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Click <strong>Edit<\/strong> next to the account. Use it with care: the person will need to log in with the new address and update the account in every email app they use.<\/p>\n<p>Scroll to the bottom and click <strong>Save changes<\/strong> when you&#8217;re done.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"How_to_reset_a_team_members_password\"><\/span>How to reset a team member&#8217;s password<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>If someone forgets their password, or you think an account may be compromised:<\/p>\n<ol>\n<li>Click <strong>Edit<\/strong> next to their account.<\/li>\n<li>Scroll down to <strong>Password<\/strong>. Before saving, you can also tick <strong>Force password update at next login<\/strong>, so the person must choose their own new password.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"How_to_temporarily_block_an_account\"><\/span>How to temporarily block an account<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Sometimes you need to stop someone logging in without deleting their email, for example when a staff member leaves or goes on extended leave. This is usually the best choice when someone leaves, because customer emails aren&#8217;t lost.<\/li>\n<li><strong>Inactive:<\/strong> the account is switched off completely.<\/li>\n<\/ul>\n<p>Click <strong>Save changes<\/strong>. You can switch the account back to <strong>Active<\/strong> at any time.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"What_to_do_when_someone_leaves_your_company\"><\/span>What to do when someone leaves your company<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<ol>\n<li><strong>Block access straight away.<\/strong> Set the account to <strong>Disallow login<\/strong>, or reset its password.<\/li>\n<li><strong>Keep the emails coming to someone.<\/strong> Log in to the account with the <strong>Login<\/strong> button and set up forwarding, or have a colleague check it regularly.<\/li>\n<li><strong>Save anything important.<\/strong> Move or export any emails your business needs to keep.<\/li>\n<li><strong>Delete the account when you&#8217;re ready.<\/strong> This frees up a mailbox on your plan for someone new.<\/li>\n<\/ol>\n<h2><span class=\"ez-toc-section\" id=\"How_to_delete_an_email_account\"><\/span>How to delete an email account<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p><strong>Deleting an account is permanent.<\/strong> All of its emails, folders, contacts and calendar entries are deleted and can&#8217;t be recovered. Back up anything you need first.<\/p>\n<ol>\n<li>On the <strong>Mailboxes<\/strong> tab, click <strong>Remove<\/strong> next to the account.<\/li>\n<li>Check that the address shown in the <strong>Confirm deletion<\/strong> box is the one you want to delete.<\/li>\n<li>Click <strong>Delete now<\/strong>.
